Start With Brand and Model

For PLCs, inverters, CPU modules, HMIs, sensors and valves, the model number is the most important information. If the label is worn or the equipment is old, attach a clear photo of the nameplate and terminal area.

Add Quantity, Condition and Destination

Buyers should include required quantity, acceptable condition, destination country and urgency. These details help confirm stock, packing, lead time and shipping options.

Share Application Notes When Possible

If the part is used for urgent maintenance or replacement, mention the machine type and whether alternative models are acceptable. This helps avoid unsuitable substitutes.

Include Photos Even When the Model Looks Clear

Industrial parts often have suffixes, regional versions, firmware differences or connector changes. Front label photos, side labels and old unit photos give the sourcing team more evidence before quoting.

Make the Commercial Requirement Clear

State whether you prefer new original, surplus, refurbished or a practical replacement option. For urgent maintenance, also include the target delivery date so availability can be checked in a realistic way.

Keep One RFQ List Organized

For mixed spare parts lists, place each item on a separate line with brand, model, quantity and notes. This makes quotation review easier and reduces repeated questions during purchasing communication.
